Sentinel - Terms and Conditions

These Terms and Conditions ("Terms") govern your access to and use of the Sentinel service ("Service", "Sentinel"), a product of Normtech Ltd, a company registered in England and Wales ("we", "us", "our", "Company"). These Terms are published at https://heysentinel.ai/terms.
By creating an account or using Sentinel, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. Definitions
- "Account" means your registered user account with Sentinel.
- "Content" means any text, images, files, documents, voice messages, or other materials you submit to or through the Service.
- "Integrations" means third-party services connected to your Account, such as Google Calendar and Telegram.
- "Output" means any text, information, suggestions, summaries, drafts, or other responses generated by Sentinel in response to your Content.
- "Scheduled Task" means an automated action configured to run at specified times or intervals within the Service.
- "Subscription" means your paid plan (Starter, Pro, or Max) that grants access to the Service.
- "Workspace" means the isolated container environment provisioned for your Account.
2. Eligibility and Account Registration
2.1. You must be at least 18 years old and legally capable of entering into a binding agreement to use Sentinel.
2.2. You must provide accurate and complete registration information, including a valid email address. You are responsible for keeping your account credentials secure.
2.3. You may only create one Account per person. We reserve the right to refuse registration or terminate Accounts created in violation of these Terms.
2.4. You are responsible for all activity that occurs under your Account, including actions taken by Scheduled Tasks you configure.
3. Description of the Service
3.1. Sentinel is an AI-powered personal assistant accessible primarily through Telegram. It uses large language models provided by Anthropic (Claude) to process your messages and provide responses.
3.2. Core features include, but are not limited to:
- Conversational assistance via Telegram messaging
- Calendar management through Google Calendar integration
- Scheduled and recurring automated tasks
- Web browsing and research
- Voice message transcription
- File and document handling
- Reminders and to-do management
We may introduce additional features and integrations (such as email management and note-taking tools) over time. New features will be announced on our website and may be subject to your Subscription plan.
3.3. Each Account is provisioned an isolated container environment (Workspace) to ensure separation of your data and tasks from other users.
3.4. The Service relies on third-party AI models, APIs, and infrastructure. Feature availability may vary depending on your Subscription plan and the availability of these third-party services.
4. Subscription Plans and Billing
4.1. Plans. Sentinel is offered in three Subscription tiers: Starter (from GBP 19/month), Pro (from GBP 39/month), and Max (from GBP 79/month). Each plan includes a monthly usage allowance measured in tokens processed. Current plan details and pricing are available on our website.
4.2. Billing. Subscriptions are billed monthly in advance through our payment processor, Stripe. By subscribing, you authorise us to charge your chosen payment method on a recurring basis.
4.3. Auto-Renewal. Your Subscription will automatically renew at the end of each billing period unless you cancel before the renewal date.
4.4. Price Changes. We may change our prices by giving you at least 30 days' notice before your next billing period. If you do not agree to the new price, you may cancel your Subscription before it takes effect.
4.5. Cancellation. You may cancel your Subscription at any time through your dashboard or by contacting us. Cancellation takes effect at the end of the current billing period. You will retain access to the Service until then.
4.6. No Refunds. All Subscription payments are non-refundable, except where required by applicable consumer protection law. If you cancel mid-month, your Subscription remains active until the end of that billing period but no pro-rata refund will be issued.
4.7. Failed Payments. If a payment fails, we will attempt to retry the charge. If payment is not received, your Subscription status will be set to "past due" and access to the Service may be restricted or suspended.
4.8. Usage Limits. Each plan includes a monthly token allowance. If you exceed your allowance, Sentinel may reduce the quality or availability of responses until your next billing period or until you upgrade your plan.
4.9. Taxes. Prices shown on our website include UK VAT at the applicable rate. If you are located outside the UK, local taxes may apply and are your responsibility.
5. Acceptable Use Policy
5.1. You agree to use Sentinel lawfully and in accordance with these Terms. You must not use the Service to:
- (a) Violate any applicable law, regulation, or third-party rights.
- (b) Generate, store, or distribute illegal content, including but not limited to content that promotes violence, terrorism, child sexual abuse, or discrimination.
- (c) Harass, abuse, threaten, or intimidate any person.
- (d) Attempt to generate malware, exploit code, or any content intended to cause harm to computer systems or networks.
- (e) Impersonate any person or entity, or misrepresent your affiliation with any person or entity.
- (f) Use the Service to provide professional advice (medical, legal, financial, or otherwise) to third parties without appropriate professional qualifications and oversight.
- (g) Reverse-engineer, decompile, or attempt to extract the source code or underlying models of the Service.
- (h) Use automated means to access the Service beyond the interfaces we provide (e.g., scraping, bots external to Sentinel's own functionality).
- (i) Circumvent any usage limits, authentication mechanisms, or security measures.
- (j) Use Scheduled Tasks or automations to conduct activities that would violate this policy if done manually.
- (k) Share your Account credentials or allow others to access your Account.
5.2. We reserve the right to investigate suspected violations and to suspend or terminate your Account without notice if we reasonably believe you have breached this policy.
6. AI-Generated Content Disclaimer
6.1. No guarantee of accuracy. Sentinel uses artificial intelligence to generate Outputs. AI models can produce incorrect, incomplete, outdated, or misleading information. Outputs may contain factual errors, known as "hallucinations".
6.2. Not professional advice. Outputs are provided for general informational purposes only. They do not constitute medical, legal, financial, tax, or any other form of professional advice. You should always seek qualified professional advice where appropriate.
6.3. Your responsibility. You are solely responsible for evaluating and verifying any Output before relying on it or sharing it with others. Any decisions you make based on Outputs are at your own risk.
6.4. No endorsement. The inclusion of any information, product, service, or third-party reference in an Output does not constitute our endorsement or recommendation.
6.5. Third-party AI models. The AI models underlying the Service are developed and maintained by Anthropic. We do not control the training data, behaviour, or outputs of these models beyond the configuration we apply within our Service.
7. Intellectual Property
7.1. Your Content. You retain all rights to the Content you submit to the Service. By using Sentinel, you grant us a limited, non-exclusive licence to process your Content solely for the purpose of providing the Service to you.
7.2. Outputs. Subject to applicable law and the terms of our AI model providers, you own the Outputs generated for you by the Service. We do not claim ownership of Outputs. However, due to the nature of AI, identical or similar Outputs may be generated for other users independently.
7.3. Our intellectual property. The Service, including its software, design, branding, documentation, and underlying technology (excluding third-party components), is owned by or licensed to Normtech Ltd. These Terms do not grant you any right to use our trademarks, logos, or brand elements.
7.4. Feedback. If you provide us with suggestions, ideas, or feedback about the Service, you grant us a perpetual, irrevocable, royalty-free licence to use that feedback for any purpose without obligation to you.
7.5. No training on your data. We do not use your Content or Outputs to train or fine-tune AI models. Your data is sent to Anthropic's API for processing only, under their Commercial Terms of Service, which prohibit training on customer data.
8. Third-Party Integrations
8.1. Authorisation. When you connect a third-party Integration (such as Google Calendar or Telegram), you authorise Sentinel to access and interact with those services on your behalf within the scope of the permissions you grant.
8.2. Third-party terms. Your use of Integrations is also subject to the terms and conditions of those third-party services. It is your responsibility to review and comply with those terms.
8.3. Access scope. Sentinel will only request the permissions necessary to provide the features you use. You can review and revoke Integration access at any time through your dashboard or the third-party service's settings.
8.4. No liability for third parties. We are not responsible for the availability, accuracy, or security of third-party services. If an Integration becomes unavailable or changes its API, some Sentinel features may be temporarily or permanently affected.
8.5. OAuth tokens. Integration credentials (such as OAuth refresh tokens) are stored using envelope encryption (AES-256-GCM) and are never stored in plaintext.
9. Data and Privacy
9.1. Our collection and use of personal data is governed by our Privacy Policy, which forms part of these Terms. Please read it carefully.
9.2. By using the Service, you acknowledge that your messages and Content are transmitted to Anthropic's AI models via their API for processing. Anthropic's Commercial Terms and Data Processing Addendum apply to this processing. Anthropic does not use API data for model training and retains API data for no more than 7 days (as of the date of these Terms).
9.3. We maintain container isolation between user Workspaces. Your data, files, and conversation history are stored separately from those of other users.

10. Service Availability and Modifications
10.1. No uptime guarantee. We aim to keep Sentinel available at all times, but we do not guarantee uninterrupted or error-free service. The Service may be temporarily unavailable due to maintenance, updates, infrastructure issues, or circumstances beyond our control.
10.2. Service modifications. We may modify, update, or discontinue features of the Service at any time. We will make reasonable efforts to notify you of material changes, but some changes may be made without notice.
10.3. Third-party dependencies. The Service depends on third-party infrastructure and APIs (including Anthropic, Google, Telegram, Stripe, and DigitalOcean). Changes or outages affecting these providers may impact the Service.
10.4. Scheduled maintenance. Where possible, we will schedule maintenance during low-usage periods and provide advance notice.
11. Limitation of Liability
11.1. Exclusion of certain damages. To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, loss of data, loss of business opportunity, or reputational harm, arising out of or in connection with your use of the Service.
11.2. Liability cap. Our total aggregate liability to you for any and all claims arising out of or relating to these Terms or the Service shall not exceed the total fees you have paid to us in the 12 months immediately preceding the event giving rise to the claim.
11.3. AI output liability. We accept no liability for any loss or damage arising from your reliance on Outputs generated by the Service. You acknowledge that AI-generated content may be inaccurate and that you are responsible for verifying it.
11.4. Integration failures. We are not liable for any loss arising from the unavailability, malfunction, or data loss within third-party Integrations.
11.5. Nothing excluded unlawfully. Nothing in these Terms excludes or limits our liability for: (a) death or personal injury caused by our negligence; (b) fraud or fraudulent misrepresentation; or (c) any other liability that cannot be excluded or limited under applicable law, including the Consumer Rights Act 2015 where applicable.
11.6. Reasonable care and skill. To the extent the Service is provided to you as a consumer, we warrant that we will provide the Service with reasonable care and skill, as required by the Consumer Rights Act 2015.
12. Indemnification
12.1. You agree to indemnify, defend, and hold harmless Normtech Ltd, its directors, officers, employees, and agents from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or relating to:
- (a) Your breach of these Terms.
- (b) Your Content or your use of Outputs.
- (c) Your use of the Service in a manner not authorised by these Terms.
- (d) Your violation of any applicable law or third-party rights.
- (e) Any Scheduled Task or automation you configure that causes harm or violates these Terms.
12.2. This indemnification obligation survives termination of your Account.
13. Termination
13.1. By you. You may terminate your Account at any time by cancelling your Subscription and requesting Account deletion through your dashboard or by contacting us. Cancellation of your Subscription is effective at the end of the current billing period.
13.2. By us. We may suspend or terminate your Account immediately and without notice if:
- (a) You breach these Terms, including the Acceptable Use Policy.
- (b) Your payment method fails and the issue is not resolved within a reasonable period.
- (c) We are required to do so by law or regulatory order.
- (d) We reasonably believe your Account poses a security risk.
13.3. Effect of termination. Upon termination:
- (a) Your access to the Service will cease.
- (b) Your Scheduled Tasks will stop running.
- (c) We will retain your data for a reasonable period (currently 30 days) to allow you to request an export, after which it will be deleted in accordance with our Privacy Policy. Due to the nature of database backups, fragments of your data may persist in encrypted backup files for up to 7 additional days.
- (d) Any outstanding fees remain payable.
13.4. Data export. You may request an export of your data before termination by contacting us. We will provide your data in a commonly used, machine-readable format where technically feasible.
14. Governing Law and Jurisdiction
14.1. These Terms shall be governed by and construed in accordance with the laws of England and Wales.
14.2. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where you are a consumer and entitled to bring proceedings in your local courts under mandatory consumer protection legislation.
15. Dispute Resolution
15.1. Informal resolution. Before commencing any formal legal proceedings, you agree to contact us at [email protected] to attempt to resolve the dispute informally. We will make reasonable efforts to resolve the matter within 30 days.
15.2. Formal proceedings. If the dispute cannot be resolved informally within 30 days, either party may commence proceedings in accordance with Section 14.
15.3. Consumer rights. Nothing in this section prevents you from exercising your statutory rights as a consumer, including the right to complain to Trading Standards or seek resolution through the courts.
16. Changes to These Terms
16.1. We may update these Terms from time to time to reflect changes in our Service, applicable law, or business practices.
16.2. We will provide at least 30 days' notice of material changes by email to the address associated with your Account and/or by a notice within the Service or on our website.
16.3. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Terms. If you do not agree to the changes, you must stop using the Service and cancel your Subscription before the changes take effect.
16.4. Non-material changes (such as corrections of typographical errors or changes to formatting) may be made without notice.
17. Accessibility
17.1. We are committed to making Sentinel accessible to all users. We will make reasonable efforts to comply with applicable accessibility standards, including the European Accessibility Act (EAA) where it applies to the Service.

18. General Provisions
18.1. Entire agreement. These Terms, together with the Privacy Policy, constitute the entire agreement between you and Normtech Ltd regarding your use of the Service.
18.2. Severability. If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.
18.3. Waiver. Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision.
18.4. Assignment. You may not assign or transfer your rights under these Terms without our prior written consent. We may assign our rights and obligations under these Terms without restriction.
18.5. Force majeure. We shall not be liable for any failure or delay in performing our obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to natural disasters, war, terrorism, pandemics, government actions, power outages, internet disruptions, or failures of third-party services.
18.6. Third-party rights. These Terms do not confer any rights on any person other than you and Normtech Ltd. No third party may enforce any provision of these Terms under the Contracts (Rights of Third Parties) Act 1999.
18.7. Notices. We may send notices to you by email to the address associated with your Account. You may send notices to us at [email protected]. Notices sent by email are deemed received on the next business day after sending.
